What this covers. This page explains how we handle information for our internal bookkeeping text-message assistant. The assistant is a phone number our own team uses to send in receipts and ask about expenses and event costs. It is not used to message customers, and it is not used for marketing.
What we collect.
- The mobile phone numbers of the people on our team who are authorized to use the assistant.
- The messages those people send to it, including photos of receipts, and the replies the assistant sends back.
How we use it. Only to record and sort business expenses and income for our events, to answer questions about them, and to send reports to the same people. We do not use it for advertising.
Who handles it for us. We use service providers that process messages on our behalf: our text-message provider (Surge), our hosting and database providers, and an AI service that reads receipts and sorts expenses. They may only use the information to provide those services to us.
What we do not do. We do not sell your information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
How long we keep it. Business records are kept as long as needed for taxes and bookkeeping. You can ask us to remove your phone number from the assistant at any time.
Opting out. Reply STOP to any message and you will get no more texts. Reply HELP for help.
